Context

What the system is

At an exhibition, a VR experience has a queue, a time budget per visitor and no tolerance for a headset that needs troubleshooting.

Planning and running immersive setups on-site: device provisioning, content loading, throughput, staffing and hygiene between users — the unglamorous part that determines whether the experience lands.

Problem

What needed solving

Multi-device deployments fail operationally, not technically — battery, charging cycles, content sync, guardian setup and handover time.

  • Fixed event window, no second attempt
  • Visitors are often first-time headset users
  • Throughput matters as much as fidelity

Designing for the queue

Experience length, onboarding and handover are designed around how many people need to go through in an hour.

Failure planning

Spare devices, charged rotations and a fallback path for every part of the setup.

What I took from it

Operational reliability is the product at an event. Nobody remembers the rendering quality of a headset that would not start.
